(iv)  registered dealings (eg, mortgages, leases, any other items registered on title);
(v)  list of inclusions;
(vi)  other information included in the standard pages of the contract for sale;
(vii)  community title search;
(viii)  council zoning certificate;
(ix)  council order;
(x)  sewer diagram;
(xi)  required dealings;
(xii)  if the property has a swimming pool, the swimming pool register entry and compliance certificate or certificate of non-compliance;
(xiii)  any document relating to, in on connection with, the property you are intending to lease, sell, or purchase;
(i)  details of your real estate agent, legal adviser, or conveyancer including their name, address, mobile and telephone numbers and, as applicable, their licence number;
(j)  details of the products and services we provide to you or that you have enquired about, including any additional information necessary to deliver those products and services and respond to your enquiries;
(k)  any additional information that you provide to us directly through our websites or indirectly through your use of our websites, our services or through websites or accounts from which you permit us to collect your personal information;
(l)  information you provide to us through customer surveys;
(m)  information concerning or necessary for a request to appoint an industry expert or perform our obligations; and
(n)  any other information that may be required in order to facilitate your dealings with us.

If you are a current or prospective tenant for a rental property, Reliance Property may collect the following additional information from you:

·        contact details (including, name, address, telephone number and email address);

·        driver’s license number;

·        employment details such as your employment status, employer, salary, length of employment;

·        other sources of income; and

·        personal and financial referees whom we may contact about your application.

Sometimes Reliance Property may also need to ask you for other forms of Personal Information to enable us to provide services to you.

 How does Reliance Property collect Personal Information about me?

Reliance Property collects your Personal Information directly from you unless it is unreasonable or impracticable to do so. When collecting Personal Information from you, Reliance Property may collect in various ways, including emails, letters, telephone calls and as below;

(a)  submit a query via our websites;
(b)  register for an account on our websites or on our services;
(c)  provide personal information when using our services;
(d)  communicate with us through correspondence, chats, email, or when you share information with us over the telephone or in person; or

Reliance Property collects information for a range of purposes including:

·        to comply with local, state and federal legislation or regulations, and those specifically related to real estate property sales, rental and administration;

·        to enable our agency to assist you with related services, as required;

·        for our internal administrative, marketing, planning, product development and research requirements;

·        to update our agency’s records and keep your contact details up to date;

·        to deal with your queries or customer service issues promptly, whether by email, telephone or mail;

·        to conduct relevant business processing functions; and

  • .         to  provide information to third parties working with Reliance Property (including in return for a fee or payment);

  • .      for procuring a national tenancy database search for the participating real estate agent for a rental property listing;
  • .     to arrange the connection of utilities to the relevant tenancy property by third party utilities service providers if requested by the successful applicant for a tenancy;
  • .     to  generate the standard form contract for sale;
  • .   to  conduct title and other searches, including the searches referred to in, or required to be conducted as part of, a contract for sale;
  • .    for obtaining documents related to the sale of the property such as registered dealings (other than mortgages), sewer diagrams, council orders and other related documents;
  • .    for  insurers (including Realcover Insurance)
  • .    for  a participating real estate agent in relation to a residential tenancy application or other form completed online;
  • .    organisations with whom REINSW has integration arrangements to enable the automatic pre-population of information and details on its forms;
  • .     for  Docu Sign, Inc of 221 Main Street, Suite 1000, San Francisco, CA 94105, a Delaware corporation (“DocuSign”) or an affiliate, subsidiary or related body corporate of DocuSign for the purpose of DocuSign, an affiliate, subsidiary or a related body corporate of DocuSign:
  • .    for  converting online forms and agreements (that include information populated by you and other registered users) completed using our Online Services into electronic documents that are capable of being signed and completed electronically (esign forms) by third parties;
  • .     forwarding and serving the esign forms electronically to third parties;
  • .    for any legal representative you or a person you are representing advises is retained by you or a person you are representing; and
  • .    for the legal advisers, conveyancers, or technology providers of, or in connection with, any of the third parties listed above;
  • .    to facilitate you and other registered users (including any users authorised by you or the registered user) to use and input information (including personal information) into the forms and agreement templates made available from or in our services;
  • .    to  facilitate you and other registered users (including any users authorised by you or the registered user) to access, either directly or indirectly via an integrated interface that we or our contractors make available to you, the services supplied by DocuSign or a related body corporate of DocuSign for the purposes of preparing and distributing any esign forms (refer above);
  • .    to  facilitate you and other registered users (including any users authorised by you or the registered user) to access, either directly or indirectly via an integrated interface that we or third parties engaged by us make  available to you, various third-party apps including but not limited to:
  • .   to facilitate the services of DocuSign, Vaultre, My Connect, Property Services 360, REINSW,  nominated tax agents/ accountants, nominated electricians, nominated plumbers, nominated handymen, nominated lock smiths, nominated strata managers, nominated building managers, nominated property photographers, nominated cleaners, fire inspectors, financial institutes, finance brokers , web technicians, auditors, payment system operators like banks etc;
  • .   fulfilling or processing an order for a product or service offered by us;
  • . if a payment is made via our websites for any product or service, receiving and processing that payment including exchanging personal information with the relevant bank or payment provider;
  • . providing services and customer support, including software and service updates;
  • . comparing information for accuracy, and verifying it with third parties;
  • . improving our offers, products, or services including by examining and keeping track of patterns of use through our interactions with you;
  • . for optimising our websites and our users' experience such as to perform analytics, conduct research, and for advertising and marketing purposes;

How does Reliance Property use the Personal Information held about you?

Our agency may send you direct marketing communications and information about our services that we consider may be of interest to you. These may include:

We will respond to your request for access within 7 days and endeavour to provide the requested information within 21 days.

There may be instances where Reliance Property cannot grant you access to the Personal Information we hold. For example, we may not be able to provide access to information in the following situations:

·        where in our opinion providing the information your request, may create a serious threat to the life or health of any individual or may be an unreasonable intrusion into the privacy of another individual;

·        where your request for access is, in our agency’s opinion, frivolous or vexatious; or

 There are some instances when our agency may need to provide your Personal Information to third parties.  Reliance Property may be bound by law to provide your details to courts, government-related bodies, including the Titles Office or the Residential Tenancies Bond Authority.

Reliance Property does not sell your personal details to other organisations. We may however use the information about you to assist us with internal marketing and research.

We may disclose your Personal Information to entities located outside of Australia, including our data hosting and other IT service providers, who may pass information to secondary data hosting providers located outside of Australia.

    If you provide a review or rating for a product or service provided by, or available through, us, we reserve the right to publish part or all of your review or rating together with your first name, photo/video ( consented by you)  and suburb on our websites, social media platforms, google reviews.

How does Reliance Property keep my Personal Information secure?

Reliance Property will take reasonable steps to ensure information collected, used or disclosed is stored in a secure environment that is accessed only by persons authorised by our agency so as to prevent interference, misuse, loss, unauthorised access, modification or disclosure.
